Find tips, tricks & tools for building a freelance business & virtual lifestyle.

I work from home and don't have office space for a bookkeeper. I also don't have time or the interest in fdoing it myself.

Has anyone used a bookkeeper virtually? I guess I could mail my bills to him / her and they could process for me, send me a spreadsheet and send back checks for me to sign. Other needs are keeping track of business expenses, etc. and producing a simple profit / loss spreadsheet each month for the business (makes tax time less of a nightmare).

ANyway, if you've had a good or bad experience with this approach, I appreciate the advice.

I am an experienced virtual bookkeeper, and have also worked for a tax service. For one customer who never established a bookkeeping system and had the IRS after him, I had to go back through five years of receipts, bank statements and miscellaneous - as well as keep up the current books, in order to present to his CPA and the IRS.

The way I have done it before was to have the client mail me his receipts and bank statements. I was then able to establish a bookkeeping system. From this I was able to reconcile his bank accounts, keep track of his income, expenses(accounts payable and receivable), pay bills and provide monthly reports.

This was a win-win situation. I worked as a contract laborer and not employee (although I like both ways), I was able to utilize my home office, got paid a monthly retainer to do his work, and was still able to do other freelance work.

I am steering clear of bookkeeping. But I was handling a small real estate company's bookkeeping and found some useful tools I'd share with everyone.

QuickBooks online worked well. Both the client and I could access the account at any time from anywhere as well as their accountant. They used an online tool called PayTrust and we paid bills from this account. It allowed bills to be sent there and scanned, so no paperwork was involved. If for some reason they had other bills outside of PayTrust, they'd scan and pdf them and email them to me. They also used an online shared folder. I did all of their bookkeeping online and no paperwork ever needed to be mailed.
Hi Lloyd,

I too am a virtual bookkeeper. I have 10 years experience in bookkeeping as well as the experience that I obtained in running my own business. I definitely know what it's like to be a business owner trying to juggle all of the demands on my own. There are so many ways that this can be done. I'd be happy to speak with you about it and help you work out whatever type of system you'd be most comfortable with. Please visit my site at www.va-4-hire.com or email me at mcosta@va-4-hire.com for more information.

Sincerely,

Marta Costa
