5 Ways a Virtual Administrative Assistant Can Save Time and Make You Money

While the term Virtual Assistant is becoming more and more popular, many of us still aren’t sure how to use one in the day to day operations of a business. The Virtual Assistance industry is growing by leaps and bounds. Every VA has their own niche and specialty skill set. This post is the first in a series. Each week I’ll be covering the different ways that a business can use a Virtual Administrative Assistant, a Virtual Bookkeeper and an Internet Marketing Assistant.

The following are just a few simple and easy ways that a Virtual Administrative Assistant can jump in and save you lots of time. And let’s face it, more time equals more money, more freedom, and even less stress.

Are you spending a large chunk of your day sorting through your emails and jotting down voicemail messages? Give your Virtual Assistant access to your webmail and answers to some frequently asked questions and they can:

Weed out spam messages
Handle customer service emails
Answer frequently asked questions
Flag high priority messages

You can also set up a separate”high priority” email account that important messages can be re-routed to. Set it up so that you are notified immediately when a message comes in, via cell phone or pda and you’re able to stay on top of the super important messages without getting distracted by the lower priority items.

Do you find yourself wondering if you’re forgetting an important event, meeting or special occasion? Give your Virtual Assistant access to your online calendar and a list of your special occasions so that they can:

Input all of your special occasions into your calendar
Set up a customized reminder system so that you never forget a special occasion, meeting or conference call again

Don’t have time to send out cards or gifts? A Virtual Assistant can send out “thank you” notes and cards as well as greeting cards for special occasions. They can also arrange to purchase and send gifts.

Like most entrepreneurs, you probably have all kinds of ideas or projects that are sitting on the back burner because you don’t have the time to explore or implement them. Your Virtual Assistant can:

Be a sounding board to bounce your ideas off of
Help you brainstorm, streamline, and add to your ideas
Research
Map out a plan to explore or implement your new project
Seek out and coordinate other resources or contributors
Liason between you and other contributors as project manager

Do you find that you don’t have time to jot down notes from meetings and interviews? Are you coming up with questions or ideas while driving or otherwise engaged and can’t write things down? Do you have a lot of correspondence to address and not enough time? With a digital recorder your can record your thoughts, meetings, interviews, memos, letters etc. Download the digital file and email them to your Virtual Assistant. They can then:

Transcribe your recording and type it up for you, then email your meeting notes or interview back to you for future reference
Transcribe your thoughts and ideas for your review
Type the email, memos, or letters and email them back to you or distribute them for you

These are just a few quick and simple ideas to begin implementing Virtual Administrative Assistant Services in your business. This is just the first in a series. We’ll also be covering Virtual Bookkeeping and Internet Marketing Assistant Services.

Your website looks great Deb. I've had to learn alot about SEO and website maintenance too. Let me know if I can help you in any way. As to your question about the public getting tired of topics...that same concern kept me from blogging too. I felt like there just wasn't anything new to say. What I realized is this, depending on when and where you are distributing your blog, you're accessing different people with different needs. Secondly, you yourself said, you'd put things differently. We all communicate in our own style and that particular style appeals to a different set of people. You and I could both right about the same exact topic with the same exact points, but you may write it in such a way as to get your point across or reach people in a way that I may not be able to.

My website is up and running and still tweaking it a bit. I too want to be able to post blogs on my web site as you are doing. I'm still trying to find things I want to research and post about. It seems that some of the things that interest me are some of the things that have already been posted here on FV. But I think that is okay, even though I have my own voice and would post things quite differently. I guess what I'm trying to say, does the public get tired of reading or hearing about some of the same topics? I hope not.....lol.....thanks so much dear, make it a great day! When you get a chance take a look at my website and let me know what you think. Jason did an amazing job and I am really learning SO much about SEO and website maintenance and things of that nature. www.youreverythingservices.com............talk to you later dear, thanks again!

Thank you Deb, You're always so sweet and supportive. I just decided to start blogging about specific services I provide and giving tips related to those topics. We'll see where I end up from there. I'm trying to keep a running list in my notebook and my goal is to put oput 2-3 posts per week. I'm new to all of this so I don't think I've quite found my 'voice' if you know what I mean, but I'm working on it. How are things going with you? How did things go with your website?

Hey Marta! How are you dear? You have such good blog posts and I always enjoy them. Thanks for taking the time to post them here in our community! How do you come up with so many topics? I can't seem to think of any good ones at times and then there are times that I can think of plenty....lol....probably not something I need to write about though...lol....make it a glorious day! Thanks again, I have learned much from you!
